VideoSync ("VideoSync," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit videosync.cloud, create an account, subscribe, connect integrations, or otherwise use our services (the "Service"). By using the Service, you agree to this Privacy Policy and our Terms of Service.

1. Information We Collect

Account and profile information

  • Email address (required for login and service communications)
  • Name and profile image, if provided through your account or connected services
  • Account preferences and settings (for example, enabled upload destinations and notification settings)

Subscription and billing information

  • Subscription plan, status, billing period dates, and cancellation settings
  • Stripe customer ID and subscription identifiers (we do not store full payment card numbers)
  • Checkout session metadata associated with your account
  • Grace-period and access-related dates (for example, when promotional or transitional access ends)

Integration and authentication data

When you connect third-party platforms, we store the tokens and account identifiers needed to operate those integrations on your behalf, including:

  • Zoom: OAuth tokens and account identifiers used to receive recording events and access cloud recordings
  • Google (Drive and YouTube): OAuth tokens, scopes, and folder or account settings you configure
  • Vimeo: OAuth tokens and account identifiers

Recording and upload activity

  • Metadata about Zoom recordings processed by VideoSync (for example, meeting topic, timestamps, upload status, and destination URLs)
  • Webhook event data needed to process and retry uploads
  • Logs related to upload attempts, failures, and notifications

Communications

  • Emails we send to you (login codes, subscription and billing notices, product updates, upload notifications, and support correspondence)
  • Your communications with our support team

Technical and usage information

  • Device, browser, and log data (such as IP address, user agent, and timestamps)
  • Session and authentication data required to keep you logged in
  • Analytics and advertising measurement data (see Section 6)

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Service
  • Authenticate you and manage your account
  • Process subscriptions, free trials, renewals, and billing through Stripe
  • Detect, prevent, and address fraud, abuse, and security issues
  • Automatically transfer Zoom cloud recordings to platforms you enable
  • Send service-related emails (login codes, billing reminders, upload status, and account notices)
  • Provide customer support and respond to your requests
  • Comply with legal obligations and enforce our Terms of Service
  • Measure marketing performance and understand how visitors use our website

3. Legal Bases for Processing (EEA/UK Users)

If you are located in the European Economic Area or the United Kingdom, we process personal data on the following bases:

  • Contract: to provide the Service you request, including account access, integrations, and paid subscriptions
  • Legitimate interests: to secure and improve the Service, prevent abuse, and measure advertising effectiveness

  • Consent: where required for optional communications or integrations, or where you withdraw consent for processing that depends on it

4. How We Share Information

We may share information with:

  • Service providers that help us operate the Service, including: Stripe (payments and billing), SendGrid (transactional email), cloud hosting and database providers, and analytics/advertising partners
  • Integrated platforms you authorize (Zoom, Google, Vimeo) strictly as needed to perform the actions you request
  • Legal and safety recipients when required by law, court order, or governmental request, or when necessary to protect rights, safety, and security
  • Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections

We do not sell your personal information.

5. Third-Party Integrations

The Service integrates with Zoom, Google (Drive and YouTube), Vimeo, and Stripe. When you connect these services, they may collect and process information under their own privacy policies. We encourage you to review:

6. Cookies, Analytics, and Advertising

We use cookies and similar technologies to:

  • Keep you signed in and maintain session security
  • Understand website usage and performance
  • Measure the effectiveness of our advertising campaigns

Third-party tools we use may include:

  • Vercel Analytics for aggregated site usage metrics
  • Google Ads conversion tracking (Google tag) to measure ad performance and conversions related to sign-ups and subscriptions

You can control cookies through your browser settings. Disabling cookies may affect login and certain site features. Google provides opt-out tools for personalized advertising at adssettings.google.com.

7. Email Communications

We send transactional and service-related emails, including:

  • Login and account verification codes
  • Subscription welcome, trial-ending, billing failure, and cancellation notices
  • Transition notices related to changes in access or pricing
  • Upload success or failure notifications (if enabled in your settings)
  • Responses to support requests

These messages are part of the Service. You may manage certain optional upload notifications in your dashboard. You cannot opt out of essential account, security, or billing communications while you maintain an active account or outstanding billing obligation.

8. Data Security

We implement reasonable technical and organizational measures designed to protect your information, including encryption in transit, access controls, and secure development practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain personal information for as long as necessary to:

  • Provide the Service and maintain your account
  • Meet legal, tax, and accounting requirements
  • Resolve disputes and enforce our agreements

When you cancel your subscription or delete your account, we delete or anonymize personal information when it is no longer needed for these purposes, except where retention is required by law or legitimate business needs (for example, billing records). 10. Your Privacy Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your information, subject to legal exceptions
  • Restrict or object to certain processing
  • Receive a portable copy of information you provided
  • Withdraw consent where processing is based on consent
  • Opt out of certain analytics or advertising measurement where applicable

California residents may also have rights under the CCPA/CPRA, including the right to know, delete, and correct personal information, and to limit use of sensitive personal information where applicable. We do not sell personal information.

To exercise your rights, email support@videosync.cloud. We may need to verify your identity before fulfilling a request. You may also lodge a complaint with your local data protection authority if applicable.

11. International Data Transfers

VideoSync is operated from the United States. If you access the Service from outside the United States, your information may be processed in the United States and other countries where our service providers operate. We take steps designed to ensure appropriate safeguards when transferring data internationally, where required by law.

12. Children's Privacy

The Service is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page and update the "Last Updated" date. Where required, we will provide additional notice (for example, by email or in-product notification).
